Privacy Policy

This Privacy Policy applies to Moorix Marine Systems Ltd. (“Moorix”, “we”, “us”, or “our”), a company incorporated under the laws of Nova Scotia, Canada, with its principal place of business at 88 Pier Approach, Halifax, NS B3J 1A1, CA. We are the data controller for the personal information described in this policy. Our practices comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

We collect personal information only when you voluntarily provide it or when it is generated automatically by your use of the site.

2a. Information you provide directly

  • Estimate & contact forms — name, job title, company name, email address, phone number, project location, project type, and any details or files you include voluntarily.
  • Engineering resource downloads — name and email address used to gate access to datasheets, load tables, and installation guides.
  • Field notes newsletter — email address if you opt in to our quarterly technical bulletin.
  • Direct correspondence — any information you send us by email, phone, or post.

2b. Information collected automatically

  • Log data — IP address, browser type and version, pages visited, time and date of visit, referring URL, and time spent on pages.
  • Cookies and similar technologies — see Section 7 for details.
  • Analytics — aggregated, pseudonymised usage data collected via analytics software to help us understand how visitors use the site.

3. How we use your information

We use the information we collect for the following purposes:

  • Respond to inquiries — to reply to your estimate requests, technical questions, and general correspondence.
  • Deliver requested resources — to send engineering datasheets, load tables, installation guides, and other documents you have requested.
  • Send field notes — to deliver our quarterly technical bulletin to subscribers who have explicitly opted in. You can unsubscribe at any time.
  • Service improvement — to analyse how our site is used so we can improve content, navigation, and technical resources.
  • Legal and compliance — to comply with applicable laws, resolve disputes, and enforce our agreements.

We do not use your personal information to make automated decisions that have a legal or similarly significant effect on you, and we do not engage in profiling for marketing purposes.

4. Legal basis for processing

We process your personal information on the following bases:

  • Consent — where you have explicitly opted in (e.g. newsletter sign-up or non-essential cookies). You may withdraw consent at any time without affecting the lawfulness of processing before withdrawal.
  • Legitimate interests — to respond to pre-contractual estimate requests and to improve our services, where these interests are not overridden by your privacy rights.

5. Sharing your information

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We may share your information in the following limited circumstances:

  • Service providers — trusted third-party vendors who assist us in operating the website and delivering services (e.g. email delivery, form processing, cloud hosting, analytics). These providers process data only on our behalf and under contractual obligations of confidentiality.
  • Professional advisers — lawyers, accountants, or auditors who require access to fulfil their professional duties, subject to confidentiality.
  • Legal requirements — where disclosure is required by law, court order, or government authority, or where necessary to protect the rights, property, or safety of Moorix Marine Systems Ltd., our users, or the public.

6. Data retention

We retain your personal information only for as long as necessary to fulfil the purposes described in this policy, unless a longer retention period is required by law. Our general retention guidelines are:

  • Estimate and contact enquiries — 3 years from the date of last meaningful contact, to support ongoing project discussions and follow-up.
  • Resource download records — 2 years from the download date.
  • Newsletter subscribers — until you unsubscribe, after which we delete your email from active lists within 30 days (we may retain a suppression record to honour your opt-out).
  • Server log data — up to 12 months in aggregated or pseudonymised form for security and analytics purposes.

7. Cookies

We use the following categories of cookies:

  • Strictly necessary — required for the site to function (e.g. security tokens, form submission state). These cannot be disabled.
  • Analytics — help us understand aggregate traffic patterns and popular content. Set only with your consent.
  • Preferences — remember your cookie consent choice and any site display preferences.

You can control or delete cookies through your browser settings at any time. Disabling analytics cookies will not affect your ability to use the site.

8. International transfers

Our primary servers and operations are based in Canada. Some of our service providers may process data outside Canada, including in the United States or the European Economic Area. Where this occurs we take steps to ensure that appropriate safeguards are in place consistent with PIPEDA and, where applicable, the EU General Data Protection Regulation (GDPR).

9. Your rights

  • Correction — ask us to correct inaccurate or incomplete information.
  • Deletion — ask us to delete your personal information, subject to any legal obligations requiring us to retain it.
  • Withdrawal of consent — withdraw consent at any time where processing is based on consent (including marketing emails).
  • Complaint — lodge a complaint with Canada’s Office of the Privacy Commissioner (OPC) at priv.gc.ca if you believe we have not handled your information in accordance with applicable law.

To exercise any of these rights, contact us using the details in Section 10. We will respond within 30 days of receiving a verifiable request.

10. Security

We implement appropriate technical and organisational measures to protect your personal information against accidental loss, unauthorised access, disclosure, alteration, or destruction. These measures include HTTPS encryption, access controls, and regular security reviews. However, no transmission over the internet or electronic storage is completely secure; we cannot guarantee absolute security.

11. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. The “last updated” date at the top of this page will indicate when revisions were made. Where changes are material we will provide a more prominent notice (such as a banner on the homepage). We encourage you to review this policy periodically.
